Description – The Office Administrator/Receptionist plays an important role in setting the tone for the organization.  As the first and last person clients see when they are in the office, this position is instrumental in making sure clients have a positive experience and is the face of the company.

Major Areas of Responsibility

First Impressions

  • Greets clients and makes them feel comfortable when they visit the office
  • Handles and coordinates incoming phone calls
  • Handles and coordinates all other visitors, suppliers, and vendors

Responsibilities and Activities

  • Greets clients and prospective clients in a friendly and sincere manner, making them feel comfortable when they visit the office.
  • Handles incoming telephone calls.
  • Sorts and distributes the mail.
  • Process manager – reassign tasks to appropriate person.
  • Sends periodic client correspondence.
  • Coordinates the assembly and mailing of client paperwork.
  • Handles calendars for the Wealth Advisors and others in the office.
  • Orders and handles office supplies.
  • Coordinates outside vendors.
  • Review partner files to ensure readiness prior to A2 client meetings.
  • Booking A2 clients with appropriate advisor/partner.
  • Data entry and filing/file organization.
  • Review all Partner files to ensure readiness prior to A2 client meetings.
  • Scans and uploads trade tickets on monthly basis.
  • MBOS expert – support team with MBOS solutions and updates.
  • Develops and maintains written documentation (systems) of all activities.
  • Writes down 6 Most Important and prioritizes them each day before leaving office.
  • Performs other duties as assigned.

  • Able to handle multiple tasks and operate within deadlines.


  • Post-secondary education in Administrative Assistant certificate or diploma program.
  • 2 – 3 years experience in a reception or office administration capacity.
  • Excellent computer skills in Microsoft Office.
  • Ability to type 50 wpm.
  • Proven interpersonal, communication, and customer service.

Salary is commensurate with experience.
